Attendance tracking that holds up when someone disputes it
Nobody evaluates an attendance system on a normal day. It gets evaluated the first time an employee looks at a deduction and says that is not right — and someone has to decide whether the record or the person is correct.
A paper register cannot settle that. Neither can a spreadsheet someone typed up from a device export. What settles it is a record that captured enough context at the moment of the punch.
Three things a defensible record captures
Who
A punch that only proves a card was tapped or a code was entered proves very little. Verifying identity at the moment of attendance — a selfie at punch-in, or a face recognition device at the entrance — is what removes proxy attendance as an explanation.
Where
For field staff and multi-site teams, the location matters as much as the time. Geo-fenced mobile punching checks the person is actually at the work location before the punch is accepted, which turns a disputed claim into a settled one.
In one place
This is the part most setups get wrong. Businesses often end up with a biometric machine at head office, a mobile app for field staff, and a separate register at a second site — three records that have to be reconciled by hand, which means three chances to introduce an error before payroll ever sees them.
Different punch methods are fine. Different records are not. Whatever the input, it should land in one attendance record with nothing to merge afterwards.
Why this is really a payroll question
Attendance disputes are almost always payroll disputes wearing a different hat — late marks, overtime, and shift allowances all resolve into money. When attendance feeds payroll directly, the conversation moves from what the register says to what actually happened, and it ends faster.
Questions worth asking your current setup
- Can you prove who punched in, not just that a punch occurred?
- For field staff, do you know where the punch happened?
- How many separate attendance records does someone reconcile each month?
- When attendance changes, does payroll see it without anyone re-entering data?
Airwix HRMS supports selfie attendance, geo-fenced mobile punching, and face recognition devices alongside existing biometric machines — all feeding one attendance record that flows straight into payroll.
